Description:
This position is responsible for overseeing the design, development, and delivery of shore excursions, events, and Mid-Voyage Land Adventures worldwide. Ensures guests receive competitively-priced top-quality shore excursions and service through proper planning, implementation, budgeting and contracting. Responsible for directly supervising three coordinators, tour planner concierge, and providing oversight and guidance to Onboard Shore Concierge Teams in program delivery.

Performance Responsibilities:

Team Management

  • Day-to-day supervision of three Coordinators, Tour Planner Concierge and the Specialist – Charters, Groups & Land Program Tour Planner in the development, promotion, reservation and delivery of Shore Excursions for Classic fleet and to a very limited degree, retail excursions for Expedition fleet. Supervise and periodically review performance of department’s staff.
  • Explores new, creative and innovative ideas for Shore Excursions and Silversea Experiences.
  • Oversee, in conjunction with Fleet Concierge Manager, Onboard Shore Concierge operation and procedural issues (HOM) and use of Sotto Voce. Provide performance review data for Shore Concierge managers and make recommendations as to staffing and rotation.
  • Responsible for contractor agreements for tourbook production, liaising with HR and Legal database as required.
  • Responsible for training Reservations and sales staffs to ensure they have the necessary information to properly discuss and promote Silversea destinations.

Budget

  • Assist with seasonal cost analyses and develop annual plan/budget.
  • Ensure department’s conformity with the approved plan/budget.
  • Conducts ongoing analysis of competitive offerings to ensure Shore Excursion programs are attractive, unique and competitively priced.

Guest Relations

  • Answer escalated queries/problem-solve issues with Sales & Reservations supervisors/managers, seeking a positive resolution where possible.
  • Handle guest relations issues during and after the voyage. Works with tour operator and onboard team to assess situation, recommended and approve refunds.
  • Works with accounting, inventory control and guest relations to process refunds; makes adjustments in WINGS to closed voyages.
  • Make special arrangements for VIP’s as required

World Cruise & Grand Voyages

  • Design and develop World Cruise and Grand Voyage events.
  • Work with ship to delivery. Oversee logistics on-site as required.
  • Develop new tours and coordinate shore excursion programs. Continuous liaison with onboard team during the sailings, including the sale of Mid-voyage Land Adventures and adjustments/payments in WINGS.
  • Coordinate tourbook and website delivery.
  • Assist select World Cruise/ Grand Voyage guests as required, including customizing programs and liaising with other departments.

Charters and Incentives

  • Oversees the development of shore excursion proposals and programs for charter and incentive clients, including pricing and concessions as required.
  • Work with C&I sales directors to assist in promotion of voyages for future contracts through port/tour discussions/presentations.
  • Coordinate with onboard team in the resolution of C&I issues.

Website

  • Liaise with IT & Marketing for the successful promotion and reservation of shore excursions on-line.
  • Troubleshooting issues relating to tour display on website and guest booking in My Silversea.
  • Tests and provides feedback for any shorex-related system changes in MXP, My Silversea, Fidelio, POS and Silversea.com.

Marketing

  • Provide voyage highlights and teaser descriptions for Mid-Voyage Land Adventures for Atlas and subsequent marketing pieces. Proof pieces as required.
  • Provide text and photos for Twitter and Facebook Positing’s and press releases as required.
  • Assist with contract specs, website update and vessel distribution of port guides. Add and maintain contract details in legal database.

Mid-Voyage Land Adventures

  • Design and develop all mid-voyage land adventures.
  • Work with marketing in their promotion, including pieces in hard copy and e-mail collateral.

Tour Operators

  • On a voyage basis, reviews tour operation and vendor performance, highlighting areas for improvement if necessary.
  • Discusses improvements, goals, and monitors performance. Recommends termination of the tour operator’s appointment and selection of new operators.
  • Meets with tour operators as required and liaises with them regarding regional issues as they arise.
  • Conducts ongoing analysis of competitive offerings to ensure Shore Excursion programs are attractive, unique and competitively priced.

Education/Experience:

Education: Bachelor’s degree or extensive industry experience
Years of experience:

  • Three to five years’ experience managing the planning, budgeting and contracting of shore excursions on a worldwide basis
  • Three to five years’ experience arranging and overseeing services of tour operators

Essential qualifications and skills:

  • Strong leadership, management and organizational skills
  • Excellent interpersonal skills and ability to tactfully deal with internal and external contacts
  • Must be flexible and possess a positive, team-player attitude

Computer Skills:

  • Proficiency with Word and Excel Software
